Organize Desktop Files Automatically in 3 Quick Steps

What you need

  • A Windows or Mac computer with an internet connection
  • The Claude desktop app installed and logged in
  • A messy folder (for example, your Desktop) you want to organize

Step 1: Open Claude and Choose Cowork

  1. Launch the Claude desktop app from your Applications or Start menu.
  2. From the home screen, click Cowork in the sidebar.
  3. This opens a new Cowork session where you can collaborate with Claude on files. 🎉

Step 2: Drag in Your Target Folder

  1. In the Cowork window, drag the folder you want to organize (for example, Desktop) into the app.
  2. You’ll see the folder name appear under Files in Claude’s interface.
  3. Confirm that all files and subfolders are listed before proceeding.

Step 3: Grant Access to Claude

  1. Click the Allow button when Claude asks for permission to access your files.
  2. In the system dialog, select your folder (e.g., Desktop) and click Open or OK.
  3. Claude now has read and write access to sort and rename files.

Step 4: Enter the Cleanup Prompt

  1. Click the text input area at the bottom of the Cowork window.
  2. Paste the following prompt exactly as shown:
Reorganize all my photos and screenshots into neatly labeled folders sorted by date, topic, and content. Rename each file based on what’s in the image.

  1. Press Enter or click Send to submit the prompt to Claude.

Step 5: Let Claude Work Its Magic

  • Claude will analyze each file’s metadata and content.
  • It may take about 20 minutes, depending on how many files you have.
  • During this time, avoid moving or editing files in that folder.

Step 6: Review the Organized Folder

  1. When Claude finishes, you’ll see new subfolders (for example, 2024-05-Photos, Project-Screenshots, Vacation-Paris).
  2. Open each folder to check that files are sorted by date, topic, or event.
  3. Verify that file names now describe the image content clearly.

Step 7: Final Touches and Automation

  • If you want to automate this weekly, create a shortcut or script to repeat these steps.
  • You can tweak the prompt to target only documents, spreadsheets, or presentations.
  • Save your favorite prompt in a text file for quick reuse.

Common mistakes

  • Forgetting to click Allow: Claude needs access permissions or the process will fail.
  • Moving files during processing: This can interrupt Claude’s sorting and cause errors.
  • Using a vague prompt: Always specify exactly how you want files organized.
  • Overloading Claude with very large folders: Break huge folders into smaller batches for faster results.
