What a standard 2026 cancellation policy looks like

Most UK wedding photographers offer a tiered refund structure: 90+ days out: 50% refund. 60-90 days out: 25% refund. 30-60 days out: 0% refund. Less than 30 days: 0% refund, but date transfer is usually allowed once. Read your specific contract — these are guidelines, not rules.

What to look for

Three things: (1) the date transfer clause (can you move the date once, twice, or never), (2) the photographer-illness clause (what happens if the photographer can't make the day, who is the backup), (3) the force majeure clause (what happens in a pandemic, a war, a natural disaster).

The photographer-illness clause

Every good photographer has a network of 2-3 backup photographers. Ask who they are. Ask if the backups have shot at your venue before. Ask what happens if neither the photographer nor the backup is available — most contracts will refund the photography fee in full but not the deposit.

The date transfer clause

Most photographers will let you transfer the date once, free of charge, with at least 60 days notice. After that, the original date is treated as cancelled. Make sure this is in writing.

The force majeure clause

Force majeure is the legal term for 'something neither of us could control' (pandemic, war, earthquake, severe weather warning). Most contracts will allow a date transfer, but a full refund is not standard. Read this carefully.

The questions to ask

Five questions before you sign: (1) what is the cancellation policy, in writing, (2) who is the backup photographer, (3) what happens if the backup is also unavailable, (4) is date transfer free, (5) what is the force majeure clause. A good photographer will answer all five without hesitation.
