Booking a 2026 wedding photographer: a 12-month timeline from 'we're engaged' to 'photos delivered,' with what to do in each month and the mistakes to avoid.

Booking a 2026 wedding photographer feels like one decision, but it's actually 12 months of small decisions. Most couples don't know what to do in month 3 vs. month 9. Here is the timeline that works — 12 months, 12 small tasks, with the mistakes to avoid at each step.

Month 12-10: research, shortlist, first emails

Three tasks. (1) Research: shortlist 8-12 photographers from Instagram, Google, and recommendations. (2) Look at full galleries, not just homepages. (3) First email: 'Are you available on [date]? What are your 2026 prices for [hours] of coverage?' The first email gets you a yes/no and a ballpark. That's all you need at this stage.

Month 10-9: meetings, quotes, second shortlist

Three tasks. (1) Schedule 30-minute calls with 3-5 photographers. (2) Ask the 15-question questionnaire. (3) Get written quotes. The goal: a second shortlist of 2-3 photographers. Don't make the decision in month 9 — you haven't met any of them yet.

Month 9-8: the meeting, the contract, the deposit

Three tasks. (1) Meet the top 2 in person or on video. (2) Compare the quotes — is the editing included? The travel? The gallery? (3) Sign the contract and pay the deposit (typically 20-30%). Once the deposit is paid, the photographer is yours. The other one is not.

Month 8-4: the engagement shoot

Three tasks. (1) Schedule the engagement shoot 2-6 months before the wedding, (2) Use the photos for save-the-dates, (3) Use the engagement shoot as a practice run for the wedding. If the chemistry isn't right, this is the moment to find out.

Month 4-2: the pre-wedding meeting

Three tasks. (1) Schedule the pre-wedding meeting 2-4 weeks before the wedding, (2) Confirm the day-of timeline in writing, (3) Hand over the group shot list. The pre-wedding meeting is the most-photographed 30 minutes of the wedding planning process. It removes 80% of the day-of confusion.

Month 2-0: the final details

Three tasks. (1) Confirm the timeline 1 week before, (2) Confirm the wet-weather plan, (3) Confirm the family dynamics. The week before the wedding is for last-minute details, not for big decisions. Make the big decisions in month 4-2.

The day: the photographer runs the show

One task. Hand the photographer the printed group shot list and let them drive. The photographer's job on the day is to direct, to capture, and to be invisible. Your job is to be present, to be photographed, and to enjoy the day. The 12 months of small decisions are designed to make this day go smoothly.
